Organizations need to build and maintain a Collective Digital Record of their information, decisions, and evolution.
Not long ago, I was checking the usual social pages and ended up on Linkedin after I received a message from a former colleague of mine.
Chance then took me to Mashable for an article titled “Why Snapshap CEO Rejected Facebook’s $3 Billion Offer”. Then, I got suggestions of similar articles… The title of one of them rang a bell, even if initially I didn’t know why: “Memory Machines: The Quest for a Better Digital Record of Our Lives”.
The article got me thinking… It’s all about building a personal timeline of anything and everything we do like eating, thinking, and so on…
Evernote, which I use extensively, does a pretty good job when it comes to gathering content. Box is another great one that entered the same arena when they recently added notes to their file sharing service.
A personal digital record isn’t enough
At an individual level, we’re trying to build external assistants to record information that we’re using in our life. Recording and storage takes place in various forms and usually requires multiple solutions, but it’s all about helping our brain, at an individual level.
This can be really helpful for an individual, but how can a person’s Digital Record be even more useful… so useful that it would in fact be indispensable? Well, there’s one massive arena that would be a game changer: Work and Enterprises.
Organizations need a digital record for their teams
We are constantly shifting between different things that we’re working on. Whether it’s personal stuff, job related or side projects, we’re always collaborating with different groups of people. It’s not always easy to keep a record of your engagements (what we say, do, share, etc.) even if it’s just for yourself.
On a large scale, like that of an organization or even just a team, there’s an increasing need for agile systems and tools. People spend more and more time trying to get in sync at work and build what ultimately are partial records.
With multiple job and career evolutions, people that help run companies on a daily basis (who are involved in projects, departments, missions and campaigns) change a lot and end up leaving with the “how everything works” knowledge and experience that they built over time.

Even with the ever-growing number of specialized tools that we can use to record the content we generate, collective information is still spread around various locations, none of which are easily accessible for other people. In fact, we are habitually generating information without thinking about how our teammates and co-workers will find and use it in the future.
For example, people who are new to an organization or a project rarely get the necessary information that they need to perform their job, but only because it’s spread and lost at the very bottom of everyone’s email inbox, chat log, and file sharing applications. Most importantly, newcomers are not able to replay what has been said, done and shared in the past.
